How booking records are kept
When you send a request, it is saved to a private booking database and emailed to us. Each booking has a reference number, the details above and a status: request, confirmed, declined or cancelled. Only the hosts can open the booking database, through a password-free login protected by a one-time code sent to an approved email address. The public calendar shows only which nights are taken, never who booked them.
Bookings made through Airbnb are held by Airbnb under its own privacy policy. We only read the dates blocked on that calendar.
Who we share it with
We use these providers to run the service. They process information on our behalf:
- Cloudflare, which hosts this website, our booking database and our booking email address.
- Google (Gmail), which receives the booking emails we send to ourselves.
- Stripe, when we send you a secure link to pay. Stripe is responsible for your card details.
Some of these providers handle data outside the UK. They do so under safeguards such as the UK data transfer arrangements. We share information with the authorities only if the law requires it.
How long we keep it
- Requests that do not become bookings: deleted after 12 months.
- Guest details (names, nationality, address, passport details): at least 12 months after the stay, as the law requires. Passport details are deleted when no longer needed.
- Confirmed bookings and payment records: 6 years after the stay, to meet tax and accounting rules.
- Availability emails: until you unsubscribe.
Your rights
You can ask to see, correct or delete your information, to restrict or object to how we use it, to receive a copy, and to withdraw consent for availability emails. Email us and we will reply within one month. Some records we must keep by law, but we will tell you if so.
If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
